How to Bill Tenants for Utilities (RUBS) Without Overpaying Tax
A walkthrough of passing a shared utility through to your tenants the right way — bill it from the expense so income and the deduction are created together and you never overpay tax.
What this video covers
The right way to pass a shared utility through to your tenants — without accidentally overpaying your taxes:
- Record the bill first — get the utility expense on the books (deduction)
- Split it across the leases — evenly, by square footage, or custom
- Charge the tenants — each share posts to their portal alongside rent
- Track recovery — see billed vs. recovered at a glance
The order matters: record → split → charge. Do it that way and the income and the deduction are created in the same action — they can never drift apart, so a pure pass-through nets to zero and you keep the money you were never meant to owe.
